IMAP Accounts (Non-Gmail)

FanDesk supports email accounts from any provider using the IMAP and SMTP protocols — including Zoho, Outlook, Yahoo, iCloud, and any custom mail server. All the same AI features (action tagging, summarization, reply generation) work with IMAP accounts.

Supported Providers

FanDesk includes pre-configured presets for the most common providers:

Select your provider preset and FanDesk fills in the server settings automatically. Only your email, password, and display name are needed.

Connecting an IMAP Account

  1. Go to Settings > Integrations
  2. Click Add Email Account
  3. Select your provider from the list (or "Custom" for any other provider)
  4. Enter:
    • Email address — Your full email address
    • Password — Your email password (or app password for providers that require it)
    • Display name — How your name appears on sent emails
  5. Click Connect

FanDesk tests the connection immediately. If successful, your inbox starts syncing within a few seconds.

App Passwords (Required for Some Providers)

Many providers require you to generate a separate "app password" instead of using your main account password, especially if 2-factor authentication is enabled.

Yahoo Mail

  1. Log in to Yahoo Mail
  2. Go to Account Security > App Passwords
  3. Click Generate app password
  4. Select "Other app" and name it "FanDesk"
  5. Use the generated password when connecting in FanDesk

iCloud Mail

  1. Go to appleid.apple.com
  2. Sign in and go to Security
  3. Click Generate Password under App-Specific Passwords
  4. Name it "FanDesk" and copy the password
  5. Use this password in FanDesk (your Apple ID password will not work)

Outlook / Office 365

For personal Microsoft accounts with 2FA:

  1. Go to Microsoft Account Security
  2. Select Advanced Security Options
  3. Create an App Password
  4. Use it in FanDesk

For organizational Office 365 accounts, your IT admin may need to enable IMAP access for your account.

Zoho Mail

For Zoho accounts with 2FA:

  1. Go to Zoho Account > Security > App Passwords
  2. Generate a password for FanDesk
  3. Use it when connecting

Unified Multi-Account View

With both Gmail and IMAP accounts connected:

  • All accounts appear in the account switcher dropdown at the top of the Mail panel
  • Switch to a single account view, or use Unified Inbox to see all together
  • Each account is color-coded by provider
  • Compose emails by selecting the From account before sending
  • Reply from the correct account automatically based on which account received the original email

IMAP sync is one-way incremental: FanDesk pulls new changes from your mail server. Changes made directly in your mail server (e.g., reading an email in Outlook) sync to FanDesk on the next polling cycle.

Custom IMAP Setup

For mail providers not in the preset list:

  1. Select Custom as the provider
  2. Enter IMAP settings:
    • IMAP Host: imap.yourprovider.com
    • IMAP Port: 993 (standard SSL port) or 143 (with STARTTLS)
    • SSL: Enabled (recommended)
  3. Enter SMTP settings for sending:
    • SMTP Host: smtp.yourprovider.com
    • SMTP Port: 587 (STARTTLS) or 465 (SSL)
    • TLS/SSL: Match your provider's requirements
  4. Click Test Connection to verify before saving

Contact your mail provider if you are unsure of the correct settings.

Troubleshooting

Connection Failed

  • Double-check your email address and password (use app password if your provider requires it)
  • Verify IMAP is enabled in your provider's settings — some providers disable IMAP by default
  • Check that your firewall or VPN is not blocking outbound connections on ports 993 or 587
  • For Zoho India accounts, use imappro.zoho.in, not imap.zoho.com

Emails Not Appearing

  • Wait up to 60 seconds for the first sync to complete
  • Check the account status in Settings > Integrations for error messages
  • Try disconnecting and reconnecting the account
  • Verify your internet connection is stable

Cannot Send Email

  • Verify SMTP settings match your provider's documentation
  • Some providers (notably Gmail) block third-party SMTP if 2FA is not set up correctly
  • Use an app password if your provider requires it for third-party apps
  • Check your provider's SMTP daily sending limits
