Calendar

FanDesk Calendar is a fully integrated scheduling hub with two-way Google Calendar sync, AI-powered meeting time finder, Pulse video integration, and event sharing. Your entire schedule — Google events, FanDesk events, and task due dates — lives in one unified view.

Google Calendar Integration

FanDesk connects directly to Google Calendar with a true two-way sync:

Two-Way Sync

  • Events created in FanDesk appear in Google Calendar automatically
  • Events created or updated in Google Calendar sync to FanDesk every 5 minutes
  • Changes made in either place stay in sync — no manual refresh needed
  • Deletions propagate in both directions

Multiple Calendars

If you have multiple Google calendars (Work, Personal, Shared Team):

  1. Click Calendars in the sidebar panel
  2. All your Google calendars appear in a list
  3. Toggle each calendar on or off independently
  4. Each calendar has its own color for visual distinction

Multiple Accounts

If you use multiple Google accounts:

  • Connect each account in Settings > Integrations
  • All calendars from all accounts appear in FanDesk
  • Events are color-coded by source account
  • Switch which account receives new events

Calendar Views

Month View

Traditional full-month grid:

  • See the entire month's events at once
  • Events shown as colored blocks by source
  • Click any day to see the full day's events
  • Overflow indicator shows when more events exist

Week View

7-day view with time slots (most useful for scheduling):

  • Hours shown vertically (configurable: 12h or 24h)
  • Events placed at their exact scheduled time
  • See free/busy time at a glance across the week
  • Drag events to reschedule them

Day View

Single day with hourly breakdown:

  • Full detail for busy or meeting-heavy days
  • Easy to spot back-to-back conflicts
  • Time blocks for all-day events at the top

Agenda View

Scrollable list of upcoming events:

  • Chronological order starting from today
  • Groups events by day
  • Best for a quick scan of what's coming up
  • No empty days shown — jumps to next event

AI Meeting Time Finder

FanDesk can automatically find the best time for a meeting across multiple participants:

How to Use It

  1. Click + New Event and add attendees
  2. Click Find Best Time (or use DeskMate: "Find a 30-minute slot for a meeting with Sarah this week")
  3. FanDesk checks everyone's calendars for open slots
  4. Suggested times appear ranked by availability
  5. Click a suggestion to pre-fill the event

What It Considers

  • Existing calendar events (blocks out busy time)
  • Each participant's working hours
  • Preferred meeting windows (configurable in Settings)
  • Time zone differences across participants

  • "Find a 45-minute meeting slot for me and John this week"
  • "When are Sarah and I both free tomorrow afternoon?"
  • "Schedule a team sync with Engineering — find a time that works for everyone"

Calendar Sharing

Share your calendar availability with teammates or external contacts:

Share Your Calendar

  1. Go to Calendar > Settings > Sharing
  2. Click Share Calendar
  3. Enter the email addresses to share with
  4. Choose sharing level:
    • Free/Busy only — Others can see when you're busy but not event details
    • Event details — Full event titles and descriptions visible
  5. Click Share

Shared Calendars

Calendars shared with you appear in your calendar list alongside your own. You can toggle them on/off the same way as your own calendars.

View Shared Calendars from FanDesk

See who has shared their calendar with you:

  1. Go to Calendar > Shared Calendars
  2. Toggle on/off any shared calendar
  3. Their events overlay your own in a different color

Creating Events

Quick Create

  1. Click directly on any date or time slot in the calendar
  2. A mini form appears — type the event title
  3. Press Enter or click Create for a basic event
  4. Click More Options to open the full form

Full Event Form

  1. Click + New Event in the top bar
  2. Fill in all the details:
    • Title — Event name
    • Date and Time — Start and end (or all-day toggle)
    • Location — Physical address or video link
    • Description — Agenda, notes, or context
    • Attendees — Team members or external guests by email
    • Video Meeting — Add a Google Meet link automatically
    • Notifications — Set reminders (15 min before, 1 hour, custom)
    • Recurring — Set repeat schedule if needed
  3. Click Create Event

Pulse Integration

Start a Pulse video or audio meeting directly from a calendar event:

  • When creating or editing an event, enable Pulse Meeting instead of Google Meet
  • A Pulse link is generated and added to the event
  • Attendees click the link at meeting time to join the Pulse call directly in FanDesk
  • After the call, transcripts and AI summaries are automatically linked to the event

Event RSVPs

When you are invited to an event as an attendee, respond directly in FanDesk:

  • Accept — Confirms attendance; event shows as confirmed on your calendar
  • Decline — Declines the invitation; event appears greyed out or removed
  • Maybe — Tentative response; event shows with a question mark indicator

RSVP changes sync back to the organizer's Google Calendar automatically.

Today Indicator

  • Today's date is highlighted in all calendar views
  • A red line in the Day and Week views shows the current time
  • Makes it easy to see what's happening now vs. what's coming up
