Sharing Content
FanDesk lets you share pages, files, forms, and other content — both within your team and externally with anyone who has a link.
Internal Sharing
Sharing with Teammates
Most content in FanDesk is visible to your organization by default, but you can control access more precisely.
Pages: By default, pages you create are private (only you can see them). To share with your team:
- Open the page
- Click Share in the top-right corner
- Toggle Share with team to make it visible to all organization members
Projects: Projects are visible to members you explicitly add. Add members in project settings.
Files: Files in Drive inherit Google Drive permissions. Share via the Drive interface or attach to pages and tasks.
Permission Levels
When sharing with specific people or teams, you can set the level of access:

| View | Read the content only — cannot make changes |
| Edit | Modify the content freely |
| Admin | Edit content plus manage sharing settings and permissions |
Public Sharing (External Links)
Share FanDesk content with anyone outside your organization, no account required.
Creating a Public Link for a Page
- Open the page you want to share
- Click Share in the top-right
- Toggle Public Link to on
- Configure the share options (see below)
- Click Copy Link
- Share the URL — recipients can view without logging in
Public Share Options
| Option | Description |
|---|---|
| Password | Require a password before viewing — useful for sensitive content |
| Expiry Date | The link automatically stops working after this date |
| View Limit | Maximum number of times the link can be viewed before it deactivates |
| Allow Comments | Let viewers leave comments without a FanDesk account |
| Allow Download | Let viewers download the page as a PDF |
Share Link Format
Public links use the format:
https://app.fandesk.ai/share/abc123xyz
Recipients do not need a FanDesk account to access the link.
Sharing Files
Sharing from Drive
- Open Drive (shortcut: 8)
- Find the file you want to share
- Click the ... menu or hover for quick actions
- Click Share
- Enter email addresses or copy a shareable link
Drive permissions mirror Google Drive — changes in FanDesk sync back to Google Drive.
Attaching Files to Pages and Tasks
Files can be attached to pages and tasks for easy access by collaborators:
- In a Page, use the Attach File option or drag and drop
- In a Task, click the Files section and attach
Sharing Forms
Published forms can be shared publicly for data collection:
- Go to Forms
- Open the form you want to share
- Click Publish (if not yet published)
- Copy the Form Link
- Share with respondents — they do not need a FanDesk account
Form submissions flow into the Forms section and can be linked to a project.
Password-Protected Sharing
For sensitive content, add password protection to any public share:
- When creating a public share, toggle Require Password
- Enter a password
- Share both the link and the password separately
- Recipients enter the password when they open the link
Passwords are hashed on our servers — we cannot see the password you set.
Expiry Dates on Shared Links
Control how long a public share stays active:
- Set an Expiry Date when creating the share
- The link is automatically deactivated at midnight on that date (your timezone)
- Anyone who tries to access the link after expiry sees a "Link expired" message
You can extend the expiry at any time from Settings > Shares.
Revoking Shares
Disable a Public Link
- Go to the page or content you shared
- Click Share
- Toggle Public Link off — the link stops working immediately
- Or go to Settings > Shares to see all active links and disable any of them
Removing Team Access
- Open the content
- Click Share
- Find the person or toggle off Share with team
- They lose access immediately
Viewing and Managing All Shares
Get a complete picture of what you have shared:
- Go to Settings > Shares
- See all active public links you have created
- View creation date, expiry, view count, and settings
- Disable any share from this view
Security Recommendations
- Add passwords to any share containing sensitive business information
- Set expiry dates for time-limited collaborations (e.g., client projects)
- Monitor view counts — unexpected spikes may indicate the link was shared beyond your intended audience
- Revoke shares promptly when collaboration is complete
- Never share admin-level content via public links
